BLUEcloud Search: Find Titles and Copies

 

Learning Objectives
  • Search multiple targets and use facets to limit your search.

 

With BLUEcloud Cataloging, you can quickly and easily copy fields, merge new data into existing records, completely overlay existing bibliographic records and manage your current holdings.

To begin cataloging, go to the Staff menu, click the drop-down arrow, and click Cataloging. Then click Search.

(You can also click the Cataloging tile on the BLUEcloud Central main page.)

From the main cataloging page, you can:

  1. Search for a title to modify bibliographic or item information.
  2. Add a New Record (original cataloging from templates).
  3. Import a Record (currently not enabled from the main page).

To begin searching, enter a search term in the search box.

When searching, use limiters to refine your selection. To limit your results:

  1. Choose a specific target from the All Targets drop-down to search a specific Z39.50 target OR leave the selection set to All Targets to search all available Z39.50 sources.
  2. If you select your own district's target, you can also limit further using the All Fields drop-down (by title, author, etc…).
    1. If you want to edit your own title or another title in your district, choose your district’s catalog as the target.
  3. Click the magnifying glass icon or hit Enter to execute the search.

4. When searching your district catalog, you can also employ facets. Facets are represented by the checkbox icon.

  • Facets are used to narrow your search results and are populated based on the records returned in your search. You can select one or more facets to filter your search results. As you select a facet, results reload. A circle with a checkmark on the facets icon indicates at least one facet has been applied to the results. Click back on a facet to undo your selections. You can close the facet menu by clicking the facet icon again.

Results from your search will display in a hit list on the left-hand side of the page.

  • Only the targets searched will show in the list.
  • The number of hits generated for a target is indicated in parentheses ().

Pause and practice searching on your own. Log into BLUEcloud and navigate to BLUEcloud Cataloging.

  1. Perform a basic search using the search term of your choosing using the All Targets field.
  2. Perform a basic search using the search term of your choosing using your district’s cataloging database target. Use the All Fields drop-down, select "Title", and search for a title.
  3. Use the Facet icon to refine your search.

From your search results, you can do two things:

  1. Edit a record from your own database or catalog: edit the bibliographic record, add a call number, and/or add an item.
  2. Import a record from a Z39.50 search target (BLUEcloud MARC, INFOhio Catalog, LC, or OCLC) and make changes to the item record, add a call number, and/or item.

To edit a record from your own database or catalog:

  1. Select your district’s database.
  2. Locate the record you would like to look at. Click the title to open the bibliographic information.
  3. Click Manage Holdings or Edit Record.
    1. Manage Holdings will allow you to add Call Numbers and Items and make changes to item information.
    2. Edit Record will allow you to edit the bibliographic record of the title you have selected. More information on Edit Record is in the Edit Bibliographic Data lesson later in this class.

 

  1. In Manage Holdings, click a call number to see associated item barcodes.
  2. Click a barcode to review item information.
    1. To delete an item, click the X. A confirmation screen will appear. Please note: clicking the X will permanently delete the item. If the item being deleted is the last item on a record, you will need to delete the bibliographic (bib) record to delete the item.
  3. You can then look at the Call Number/ Item information or the Holds information for that item. Currently the Holds information is not available.
  4. You can see item details such as date last checked out, checked in, in-house use, inventory date, and other information.
  5. The Call Number Information screen will allow you to change item information. This is similar to Call Number/Item Maintenance within Workflows.
  6. You can also catalog new items by adding a New Call Number or a New Item. More information on this process is in the Adding an Item and Call Number lesson later in this class.

Pause and familiarize yourself with the available features of a record.

  1. Search for an item or title and move between your district catalog and one of the available Z39.50 targets (BLUEcloud MARC, INFOhio Catalog, Library of Congress, or OCLC World Cat). Note that library holdings are only available for your district cataloging. The Z39.50 targets provide a bibliographic record.
  2. Pick a record and click Edit Record. Familiarize yourself with the bibliographic record. Hover over the tags to see more information. 
    1. Select a tag and click the icon to be taken to the Library of Congress for more details about that tag.
  3. From your district catalog, select Manage Holdings. Familiarize yourself with the features available.
    1. Note details like the call number, number of copies, item type (group), price, and notes.

Manage Holdings View Shortcut Keys

Keyboard shortcuts can help you navigate more easily between fields without having to use the mouse. Once you have clicked into a field within Manage Holdings, use the following keys to quickly perform edits and add fields. Choice of browser may impact which shortcut keys are available.

Double-click a Call Number to expand or collapse the tree.

Switch focus from the manage holdings information panel to the previous panel.

Left Arrow

Switch focus to the previous panel from the title detail and item detail panels.

Right Arrow

Switch focus to the next panel from the title detail and item detail panels.

Shift+Tab

Switch focus to the previous panel from the title detail, holdings tree, and item detail panels. From the manage holdings information panel, move to the previous field.

Tab

Switch focus to the next panel from the title detail, manage holdings tree, and item detail panels. From the manage holdings information panel, move to the next field.

Up Arrow

Move up one list row on the manage holdings tree and manage holdings information panels.

Down Arrow

Move down one list row on the manage holdings tree and manage holdings information panels.
