Item Record Cleanup -- Incomplete / Questionable Items
Item record problems identified by the "Incomplete / Questionable Items" reports must be addressed by the holding library and therefore don't require a district strategy.
Bibliographic Record Cleanup -- Incomplete Records
These items must be pulled from the shelves so the correct data can be entered or matched against Union Catalog records. Because bibliographic records are shared, problems identified by the "Incomplete Records" reports require a district plan to avoid duplication of effort.
Planning a Strategy:
One issue to consider in planning a strategy is to determine whether you will run separate reports for missing publishers (260) and missing descriptions (300). Even though you may decide to run separate reports to reduce the number of problems to address, each report (missing publisher and missing description) will indicate those records missing both fields so that when both problems exist, both can be addressed at the same time. Corrected records will not appear on subsequent reports.
Consider who will make updates to records that have items attached for multiple libraries, since these titles will appear on those library reports as well. One strategy might be to establish a hierarchy of libraries. Assign each library to run the report for a different collection code and their general location code. Each library updates all records that appear on its report. When a library has cleaned up all records on its report, the next library in the established hierarchy is assigned that report. Eventually all records will have been cleaned up, even those held by only one library.
If the record appears to be good except for the missing tag you might choose to enter the missing data per the Cleanup instructions. If additional data elements are missing it is recommended that a record be copied from the Union Catalog to replace the brief/problem record. Opening a second session and selecting "Search/Export Union Catalog MARC Records" will enable you to use your mouse to copy an ISBN from the matching Union Catalog record and paste it into the problem record. When there is no ISBN in the Union Catalog record, the record will load as new and it will be necessary to link items from the problem record to the Union Catalog record after loading the exported Union Catalog records.
If you choose to update the record rather than copy a record from the Union Catalog, be sure to examine the fields below in addition to the missing tag(s).
