Item Workform Fields

 

 

Below are descriptions of the item fields on the workform that displays when you add new items to a bibliographic record or modify existing items already attached to a bibliographic record.

 

 

1. Usual location

Where the item is usually kept.

 

General location code  (required)

Press ENTER for your default code.

           

Collection code

Enter the collection code. (SELECT will display available collection codes.)

 

2. Shelf number

The call number.        

Press ENTER to select call number from the 082 tag, if present.

  OR

Press the SELECT key to display shelf number(s) of other items on the record.

 

NOTE: Each volume in a set should have the same number of digits (e.g. 01, 02).

Enter dates for magazines in a consistent format (YYYY-MM-DD).

 

3. Volume

Used for items with more than one volume. (30 character max.)

 

NOTE: Enter the volume/part number or letter only. Do not use v. or vol.

 

4. Usual circulation category  (required)

Indicates whether an item can be loaned or not.

“Loan” is the default value.

 

5. Item status  (required)

“Available” is the default value.

 

6. Item status note 

Note regarding the item’s status that displays only to staff.

 

NOTE: This note will disappear when the item status changes or when the status is Available

 

7. Unit price

Purchase price of the item. (Do not enter dollar sign [$].)

 

NOTE: If a price is entered, this is the amount that will be charged should the item become lost

 

8. Notes

Displays to staff, only if enabled in “Policies”. (135 character max.)

 

            NOTE: Do not use dollar sign [$].

 

 

9. Temporary location  (optional)

Use for new book shelf, reserve, loan to other building.

           

General code

            The branch code.

           

Collection code

 

Expiry  (required)

Date the item’s temporary location code expires (YYYY-MM-DD)

 

10. Temporary circulation category

           

11. Reserve

Name of the course, expiration date, and instructor, if the item has been put on reserve.
